Welcome to the Microsoft Teams training course, designed specifically for EIS staff. In today’s fast-paced work environment, effective communication and seamless collaboration are essential. Microsoft Teams offers a comprehensive platform to help you connect, share files, and manage tasks more efficiently.
This course will guide you through the key features of Teams, from navigating the interface and using chat functions, to managing files and understanding the difference between Teams meetings and calls. You’ll also learn best practices for syncing files to your desktop, managing your availability, and organising your work effectively.
By the end of this course, you will be confident in using Teams to enhance your day-to-day workflow and collaborate with colleagues more effectively.
In this module, we’ll explore the basics of Microsoft Teams and why it’s a key tool for EIS. Teams is used across the organisation to improve communication, collaboration, and productivity, offering a central hub for meetings, file sharing, and task management. You’ll learn what a “Team” is— a group of people working together towards a common goal, and what a “Channel” is— a space within a team dedicated to specific topics or projects. By the end of this module, you’ll have a clear understanding of Teams’ structure and how it supports your work at EIS.
This module will help you become familiar with the Microsoft Teams interface, ensuring you can navigate it with ease. We’ll cover the key sections of the Teams app, including the left-hand menu with options like Activity, Chat, Teams, Calendar, and Files. You’ll also learn how to customise the interface to suit your workflow. In addition, we’ll focus on the search tool—an essential feature for quickly finding messages, files, and contacts. By the end of this module, you’ll be able to navigate Teams confidently and efficiently retrieve information using the search function.
In this module, we will focus on how to communicate effectively within Microsoft Teams. You’ll learn how to use Chats for quick conversations, whether one-on-one or in a group, and understand the best practices for sharing information. We’ll explore Calls, covering both voice and video options for individual and group discussions. Finally, we’ll dive into Meetings, looking at how to schedule, join, and manage meetings in Teams, as well as how to share files and collaborate during and after meetings. By the end, you’ll be equipped to use Teams for all forms of communication within the EIS.
This module will teach you how to efficiently manage files within Microsoft Teams. We’ll start by covering the process of adding and sharing files in Teams, both within channels and chats. Next, you’ll learn how to sync files to your desktop, using both Teams and OneDrive, so you can easily access and work on documents offline. Finally, we’ll focus on file management best practices, ensuring you organise files correctly within Teams to avoid clutter and confusion. By the end of this module, you’ll have a clear understanding of how to handle files effectively within Teams and OneDrive.
In this module, we’ll focus on how to manage your presence and availability in Microsoft Teams. You’ll get a quick guide on using Planner, a tool within Teams that helps you organise tasks and stay on top of deadlines. Next, we’ll cover how to change your status, whether you’re available, busy, or in “Do Not Disturb” mode. Finally, you’ll learn how to set an out of office or unavailable status, ensuring your colleagues are informed when you’re not around. By the end of this module, you’ll know how to manage your availability and tasks effectively in Teams.
In this final module, we’ll review the key concepts covered throughout the course. We’ll recap how to use Microsoft Teams for communication, file management, and task organisation, ensuring you feel confident navigating the platform. You’ll also revisit best practices for managing files, meetings, and your presence in Teams. To complete the training, there will be a short end-of-course quiz to test your knowledge and reinforce what you’ve learned. By the end of this module, you’ll be ready to fully integrate Teams into your daily work at the EIS, using it as a powerful tool for collaboration and productivity.
